The Opportunity This position works onsite out of our headquarters at Abbott Park, Illinois in the Legal Division.
As an Executive Assistant, you will have an opportunity to provide general administrative support to the Legal/OEC team, including a Corporate Officer and DVPs, attorneys, paralegals as assigned.
What You’ll Work On Qualified candidates will have excellent communication skills and judgment and be able to build relationships and network with other peers to drive efficiency into the organizations they support Applicants will build/maintain processes to manage the work of their organizations by using technology (such as SharePoint, Microsoft teams), to organize and collaborate Responsibilities include all administrative functions of the department: answering phones, calendar management, scheduling travel, processing expense reports, meeting/event planning, creating or modifying business documents, managing correspondence, handling teleconference and mobile phone setups, acting as a liaison for remote access issues Manages calendars, including proactively identifying and resolving schedule conflicts Assists department with projects, including basic project management, basic research, and drafting communications Utilizes advanced software skills including Microsoft Office Suite and other business-specific software such as Corporate Travel, Procurement, document management, and matter management systems Maintains confidentiality in handling sensitive business information Coordinates domestic and international travel arrangements, including visas, passports, and inoculations Conducts onboarding activities, including workspace set-ups for new employees Consistently interacts with high-level executives and works with cross-functional teams in connection with projects and division-wide support Point of contact for team whereabouts and knowledge of general availability Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations Prioritizes workload to ensure departmental support needs are fulfilled May train new administrative assistants Intermediate knowledge and understanding of business processes and requirements Responsible for compliance with applicable Corporate and Divisional Policies and procedures Required Qualifications High School diploma or equivalent, some college preferred Preferred Qualifications 5+ years previous admin experience or equivalent Operates with general instruction and some supervision Advanced knowledge of Microsoft Office Suite, including PowerPoint, Outlook, Excel, and Word * Participants who complete a short wellness assessment qualify for FREE coverage in our HIP PPO medical plan.
