College of Lake County is seeking a Payroll Coordinator to join our Payroll Department.
The Payroll Coordinator reports to the Payroll Manager and actively participates in the preparation of bi-weekly payroll for employees of the College employee and provides leadership on pay practices, interprets and troubleshoots non-exempt and exempt pay and provides highly responsive and compassionate level of customer service to all faculty, staff and student workers.

Required Qualification(s) An Associate’s degree and one (1) year of payroll processing experience.
Demonstrated knowledge of using timekeeping system and processing in-house processing, assisting users and troubleshooting issues in payroll Strong organization and critical thinking skills with good detail orientation.
Strong written, verbal, and interpersonal skills Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.

Summary of Essential Functions Department Operations and Processes: 75% 1.
Act as the lead staff member in processing bi-weekly payroll for approximately 1,800 employees.
2.
Coordinate all payroll activities in accordance with the systems requirements of the payroll system.
Update payroll procedures to align with the current PeopleSoft pay system.
3.
Act as a subject matter expert in pay practices for six union collective bargaining agreements and ensure appropriate pay under union contract.
4.
Ensure that all authorized, or legally mandated, withholdings are withheld, are supported by appropriate documentation, and are forwarded promptly to the appropriate agency with the necessary remittance advice.
Enter employees on the payroll only with the written authorization of the Payroll Manager or a designee; verify that all employee wages, stipends, payouts, salary increases, and mentor payments have been approved and are submitted on appropriate authorization forms.
5.
Assist in documenting, maintaining and implementing updated pay practices and procedures in collaboration with the Payroll Manager.
6.
Collaborate with the Payroll Manager, Payroll Associate and other Finance and Human Resources staff in building and testing the payroll system for the transition from PeopleSoft to Workday.
Act as a back-up for the Payroll Manager in their absence and perform authorized duties based on system role security.
7.
Assist in year-end processes, including W-2 preparation and distribution related matter.
8.
Assist Payroll tax matter and Payroll audit requests.
Student/Customer Service: 15% 1.
Respond to inquiries from employees in a timely manner regarding payroll checks, withholding and other pay related items.
2.
Work collaboratively with supervisors and managers regarding issues or corrections of paid work and time off.
3.
Assist in developing materials, communicating changes and training managers/supervisors and employees on the new pay procedures and use of the Workday payroll including time and attendance and employee self-service.
Personnel Management 5% 1.
Oversee the day-to-day payroll processing work of the Payroll Associate.
Act as a coach and resource for the Payroll Associate in learning and implementing best practices in pay processing and system transition.
2.
Train new payroll staff on College pay practices, procedures, processes and the effective and efficient system use of both PeopleSoft (current) and Workday (future).
3.
Assist the Payroll Manager in evaluating other payroll staff as requested.
Other – 5% 1.
Assist with Payroll projects as assigned.

Other duties as assigned.
