Position Summary
This position is responsible for providing a wide range of office management and support to the company.
Duties include answering phone lines, greeting visitors, recordkeeping, invoicing, credit and debit memos, software entry, maintaining spreadsheets and reports, mail distribution, customer service, quality control, purchase orders, order entry's, scheduling and shipping, and office upkeep.
Must be self-managed and direct duties of all clerical staff.
Essential Duties and Responsibilities
Answer telephone
Purchasing parts and supplies
Create order entries for new purchase orders
Update schedule daily to include new orders and shipping information for completed orders
Domestic & international shipping; shipping issues (damage claims, address corrections, etc.
)
Assist in preparing order entry for invoicing
Update blanket order spreadsheets with shipping information
Help resolve issues and questions regarding purchase orders
Communicate with the team about date issues
Communicate changes to Project Managers and the Purchasing Department
Assist in plant operations for production, maintenance, quality shipping and receiving
Implement cost-effective systems of control over capital, operating expenditures, manpower, wages, and salaries
Control and minimize labor overtime, premium freight, and repair expenses
Billing costs to jobs
May perform other duties as assigned

Ordering raw material to accomplish jobs
Back-up for departments when out of office
Ability to work in a fast-paced environment
Ability to work extra hours as needed

Minimum Qualifications (Education, Experience, Skills)
High School diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to read and interpret metal rulers.
Ability to apply logic to understand and carry out detailed written or oral instructions.
Ability to deal with problems involving a few concrete variables in standardized situations.
Proficiency in Word/Excel & Google Docs
Good organizational skills and ability to prioritize duties.
Ability to work with different people from inside and outside the organization.
