SUMMARY: Bear Real Estate Group is hiring an Administrative Assistant to assist with daily tasks as outlined below.
The position involves assisting the Director of Construction and the Project Management team during the pre-construction and construction phase of projects as well as overall support for the department.
The position is office based.
DUTIES AND RESPONSIBILITIES:
Order Jobsite signage, orientation stickers and copies of site safety orientation
Order Signage for new projects – safety and CMA banner
Set Up Section 3 and Disadvantaged business Job Fairs – as required by estimating
Kick off meeting - Take minutes and add to Smartsheet for the project
Assist with setting up temporary and disconnect with utilities (Gas, Electric, Data/Wi-Fi) at the start and completion of every project
Assist as needed with groundbreaking ceremonies
Take meeting minutes for the once monthly BREG meeting held the 3rd Friday of each month.
Distribute to all in attendance.
Order and Inventory Personal Protective Equipment (PPE)
Order and Inventory CMA clothing
Review all Subcontracts, change orders and purchase orders to ensure all exhibits are correct and that the cost is reflected in the sub-analysis.
Staff Training – Source, assign, ensure completed
Planning/facilitating all CMA related events – Lunch N Learns 3-4/year
Arrange for meals during onboarding and other occasions
Update and maintain the Core Processes in Smartsheet
Assist Labor and superintendents with booking of lodging on remote sites
Computer use – Microsoft Office, Jonas, Smartsheet
Assist the Director of Construction with any miscellaneous job tasks as needed
Arrange for meals during onboarding and other occasions
Expense reports for CMA employees
Assist with gifts/cards for staff
QUALIFICATIONS:
Experience with a GC or with a developer working on administrative construction tasks would be helpful but not required.
Computer use – Microsoft Office, Jonas, Smartsheet
Attention to detail, exceptional verbal, written and presentation skills
Knowledge with Excel based Project budgets
