Custom Truck One Source has an opening for an Administrative Assistant.
They will be responsible for providing advanced clerical and administrative support to managers and other staff.
This role will allow the team to operate more effectively and efficiently.
Essential Duties and Responsibilities
Order and maintain office supply inventory for both facility supply rooms (Amazon, Staples)
Approves invoices and investigates past due invoices
Process detailed expense reports for leadership team utilizing Concur on-line expense management system.
Auditing receipts against reported transactions.
Coordinate travel schedules (flights, hotels, transportation) and trip logistics for leadership team and employees as necessary.
Coordinate logistics for on-site training classes
Provide clerical and minor technical support for the sales team.
Open and distribute business mail.
Prepare and make bank deposits as needed.
Oversee company events such as employee luncheons, employee team building and annual holiday event.
Create birthday and anniversary calendar and mail out appropriate cards to employees
Answer company phone and direct callers to appropriate party
Manage vendor relationships, (housekeeping, water coolers, etc) and backs up HR Coordinator for uniform vendor
Projects as assigned by manager
Go-to person for assistance with facilities issues
Assists with the coordination of our Purpose, Vision and Values program and activities
Create Purchase Orders in M3 for a variety of items
Coordinates and manages community activities
Other administrative tasks as needed such as laminating documents, office organization, greeting visitors and guests, etc.
Required Skills and Qualifications
High school diploma or the equivalent.
Previous experience in a similar role.
Valid driver’s license required.
Must be able to pass a pre-employment drug test.
Extremely detail oriented and accurate.
Must be able to work in a fast-paced environment.
Set priorities and adapt to changing work priorities.
Must be self-sufficient and driven.
Meet deadlines and schedules.
Strong attendance record.
Must possess proficient computer skills with the ability to learn new programs quickly.
Must be proficient in Microsoft Office package (Word, Excel, Powerpoint, Outlook).
Must be able to work independently and create innovative solutions to problems with minimal direction from supervisors.
Knowledge of principles and processes for providing a positive service experience.
This includes internal client needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
This job requires "people" skills and a genuine desire to service the client.
A positive attitude and willingness to maintain a professional demeanor with clients and team members is essential to this position.

Working Conditions
Majority of work performed in an office setting.
The ability to work as scheduled with punctual attendance, core office hours are between 7:30 am-5:00 pm, Monday-Friday (flexibility on start/quit time) plus any additional hours/days necessary in order to meet business demands.
