Position is located in Lake County, IL and requires working on-site 3+ business days weekly.
Administrative support is anticipated to account for 60-70% of role.
Serves as initial point of contact on behalf of AbbVie’s Employee Relations (ER) department, entering cases into AbbVie’s case management system, responding to initial questions and assigning cases to ER team members appropriately.
At the Direction of ER Leadership, administratively supports AbbVie’s Transitional Pay Plan; preparing required materials and coordinating updates in AbbVie’s system of record.
Provides day to day administrative support to both the VP, ER and the Director, ER as well as general administrative support the entire ER team.
Provides executive admin support to VP of ER and Director of ER – e.
g.
expense reporting, calendaring, development of presentation materials, reports ordering office supplies, coordinating on and off-site meetings including travel and catering.
Receives and responds to ER inquiries and requests with timely, accurate, and professional responses while continually prioritizing among static (email, correspondence, outbound calls) and dynamic (inbound calls) workflows.
Serves as primary point of contact for employees and business leaders, creating customer value by identifying linkages between specific customer requests and inquiries and available AbbVie benefits, resources, and services by cross-informing to both spoken and unspoken needs.
Enters and assigns ER “cases” to ER team members; providing assistance including research and problem resolution where needed.
Serves as a primary point of contact with the unemployment claim vendor, compiles and submits required documentation in response to state unemployment claims, and is accountable for researching and resolving any discrepancies.
Interfaces with vendors and processes invoice payments.
Works to resolve any discrepancies on purchase orders versus invoice.
Works with Finance team to ensure invoiced work is reclassed and routinely charged to the appropriate function.
Accountable for quarterly and annual ER related system recertification in alignment with compliance requirements.
Coordinates ER team meetings and events and performs other administrative tasks as required including but not limited to data management and retention, running reports, responding to requests for employee files, and managing Labor Law Posters updates for all applicable U.
S.
and Puerto Rico AbbVie sites.
Qualifications:
High School Diploma or GED equivalent required; Bachelor’s degree preferred
Prior experience in an HR, Legal, Ethics function strongly preferred
Strong customer service skills with the ability to handle situations of conflict and respond to difficult matters
Must be detail oriented and organized with excellent follow through.
Ability to handle confidential information and build trust throughout all levels of the organization.
Ability to take initiative and work independently under minimal supervision.
Ability to communicate clearly and persuasively, through verbal and written communication.
