*Administrative Support performs a variety of administrative and clerical tasks to ensure efficient operation of the department.
* _*ESSENTIAL DUTIES:*_ 1.
Performs customer service duties, including in-person interactions; making and receiving telephone calls, including transferring calls to the appropriate individuals; directing department visitors to the appropriate individuals; answering general information questions and/or escalating more complex questions to the appropriate individuals; and assisting with coordination of department/school meetings and/or events.
2.
Sets up and maintains paper and electronic filing systems for all records, correspondence, and other paper and electronic materials.
3.
Provides paper and/or electronic written correspondence to a diverse pool of individuals, including the department head/principal, fellow staff members, administrators, students, families, and the general public, as directed by the department head/principal.
4.
Runs reports and/or retrieves data, including paper and electronic files, and distributes the related reports/data to the appropriate individuals as directed by the department head/principal.
5.
Assists the department head/principal as requested with clerical budgetary duties, including data entry into Excel/Google sheets and position-specific software systems, collection and data entry of related receipts/invoices, and printing of budgetary reports.
6.
Composes/runs position-specific documents and/or reports and/or retrieves data for reporting out to diverse pool of individuals, including the department head, fellow staff members, students, and families, as directed by department head.
_*SCHOOL/DEPARTMENT SPECIFIC RESPONSIBILITES:*_ 1.
Add all school holdings to appropriate MARC records including but not limited to Battle of the Books titles, English Festival titles, and core titles.
Maintain district library holdings by making edits, transferring, reassigning, and deleting holdings.
2.
Complete processing of all library materials by attaching barcodes, spine labels, due date slips, inserting security strips, and covering book jackets with protective covers.
3.
Search the district’s automated library system and other technical library bibliographic databases to download and edit records to prepare for cataloging while also creating preliminary MARC records for original items.
4.
Ship shelf-ready library materials to appropriate schools by recording total materials shipped in the shipping log and coordinating with the warehouse.
5.
Manage and maintain the Second Chance Library.
6.
Assist with the annual Resource Fair preparations including creating vendor information databases, food plans, and coordination of materials.
_*QUALIFICATIONS*_ 1.
*Education*: a.
Required – Associate degree in administrative assistance or related field.
i.
In lieu of degree, minimum two years’ relevant administrative experience in administrative support or related field.
b.
Preferred – Bachelor’s degree in business administration or a related field.
2.
*Experience*: a.
Required – Minimum of three years’ current work experience in administrative support work.
b.
Preferred – Minimum of five years’ current experience in administrative support work.
3.
*Language*: a.
Preferred – Spanish Bilingual/Biliterate _*KNOWLEDGE, SKILLS, AND ABILITIES*_ 1.
Intermediate use and knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook) and Google Workspace (Docs, Sheets, Slides, Forms).
2.
Ability to attain intermediate skills with position-specific software systems within one year of KUSD work experience.
3.
Ability and willingness to maintain confidentiality of any information gained within the course of executing one's position responsibilities.
4.
Knowledge of and ability to uphold and execute all district safety procedures (knowledge to be attained within one year of employment with the district).
5.
Ability to operate office equipment such as multi-line telephone, fax machines, copiers and computers.
6.
Effective verbal and written communication skills in English and preferably Spanish.
7.
Dedication to the mission, vision, core values and strategic goals of Kenosha Unified School District.
8.
Flexibility to function on an individual basis as well as serve as a cooperative team member.
