Office Assistant
*Position Summary:*
The Office Assistant is crucial in supporting the management team by overseeing diverse aspects of the office's day-to-day functions.
This role encompasses scheduling appointments, managing phone calls, welcoming clients, and handling financial matters, including financial oversight, account receivables, and accounts payables.
The selected individual must exhibit the utmost professionalism, as they serve as guests’ initial point of contact, significantly contributing to their first impression of our organization.
Additionally, the role involves managing diverse administrative projects for the Association, primarily focusing on financial oversight and vendor coordination for the Lake County Fair and Lake County Fair Association special events.
This involves managing financial transactions, handling invoicing, accounts payable, and accounts receivable, and actively participating in vendor coordination and contract negotiation.
Responsibilities extend to ensuring compliance with event standards, which includes determining booth rental fees and establishing the terms of the agreement.
In essence, the Office Assistant is integral to maintaining operational efficiency and ensuring the success of financial and event-related aspects within the organization.
*Duties:*
- Efficiently handle office tasks, including scheduling, phone communication, and meticulous record-keeping.
- Create a welcoming atmosphere by greeting clients and visitors and directing them to the appropriate resources.
-Collaborate with departments to facilitate effective communication through meetings, contracts, and weekly updates.
-Prepare and distribute office correspondence, reports, and documents as required.
-Contribute to creating promotional materials, coordinating logistics, and communicating with vendors and sponsors.
-Develop and distribute a monthly newsletter showcasing upcoming events, fair updates, and relevant information.
-Maintain and update office files, records, and databases with attention to detail.
-Provide exceptional customer service by addressing inquiries, resolving issues, and offering information about the fairgrounds and event center.
-Lead project management efforts for the County Fair and special Lake County Fair Events.
-Manage financial transactions, including invoicing, accounts payable, and accounts receivable.
-Coordinate with vendors and create contracts, including determining booth rental fees, establishing agreement terms, and ensuring compliance with event standards.
-Assume additional responsibilities as delegated by the management team.
*Qualifications:*
- Required: High school diploma or equivalent; Desirable: Associate's degree in a related field.
-1-3 years of experience in an administrative support role, demonstrating excellent organizational and communication skills.
-Strong customer service skills
-Background in project management and vendor coordination.
-Hands-on experience in finance operations, particularly managing accounts receivable and payable.
-Proficiency in Microsoft Office and other office software applications.
-Well-versed in the application of QuickBooks.
Job Type: Full-time
Pay: $45,000.
