79 per hour Position Summary and Job Duties The Accounting Associate performs a variety of moderately complex accounting functions, under general supervision, to maintain double entry accounting systems.
Tasks are generally performed in accordance with standard accounting procedures, department policies and procedures, and state and federal regulations.
Incumbents in this position must be able to provide a high level of customer service, have impeccable attention to detail in all assigned work, and be able to thrive in a fast-paced environment.
• Performs a wide variety of accounting administrative duties for public safety personnel, which may include confidential and sensitive matters • Prepares a variety of double-entry accounting transactions and reports such as journal entries, financial statements, trial balances, purchase requisitions, purchase orders, voucher reports, and cash control summaries • Compiles and submits payroll reports for department employees assigned to a monthly payroll schedule, including reimbursing meal and travel expenses as incurred • Coordinates flow of paperwork; obtains appropriate authorizations, signatures, and documentation; works closely with department staff under tight time constraints • Prepares monthly invoices for contracting municipalities/agencies • Calculates, reconciles, and balances various financial data; develops and maintains spreadsheets; researches, collects, and summarizes financial data as directed • Performs all account receivable tasks including cash receipts, electronic funds transfers, and weekly bank deposits • Performs routine internal auditing work in verifying the accuracy and compliance to procedure of accounting books, reports, records, documents, and other financial information • Reconciles and processes department purchase card transactions, verifying accuracy and authorization • Maintains files and records of reconciliations, accounts payable transactions, and accounts receivable transactions; copies, scans, and saves files; retrieves files; and ensures appropriate organization and labeling of files and materials • Performs all accounts payable tasks including preparing and entering invoices, vouchers, receipts, and payments into accounting system using 3-way match method to be processed as well as reviewing expenses for reasonableness • Represents the Kenosha County Sheriff’s Department in a professional manner • Performs other work as required or assigned Success Factors • Knowledge of Generally Accepted Accounting Principles (GAAP), basic math calculations, and cash handling • Knowledge of Microsoft Office Suite, specifically Microsoft Excel (pivot tables, VLookups, and how to use basic functions) • Knowledge of Microsoft Dynamics • Ability to create and maintain Excel worksheets for financial analysis • Ability to work with confidential information and maintain a high level of integrity with sensitive intelligence • Ability to remain professional and courteous at all times and exercise good judgement in stressful situations; communicate clearly, concisely, and respectfully, both orally and in writing, with law enforcement personnel and the public • Ability to organize self and office to meet schedules and deadlines of the work; work independently and with limited oversight to meet deadlines; follow oral and written instructions • Ability to work respectfully in a diverse and inclusive environment • Skill in performing a variety of duties, often changing from one task to another of a different nature; handling multiple procedural processes simultaneously; providing customer service to customers in a timely manner • Skill in using office equipment, including computer, calculator, scanner, phone, and fax machine; Microsoft Office software, including Word, Outlook, and Excel Job Requirements, Education, Training and Experience Required Education and Experience • Associate Degree in accounting, finance, or related field • Three to five years of accounting experience • Or any combination of education, training, and experience which provides the knowledge, skills, and abilities necessary to perform the job Preferred Education and Experience • Work experience in a municipal setting • Work experience in processing and auditing accounts receivable and accounts payable transactions Other Job Requirements • Valid driver’s license and acceptable driving record • Background free of felony convictions • Ability to work overtime when needed, with or without advance notice Work Schedule • Work hours are generally Monday through Friday from 8:00 AM to 4:30 PM • Must be able to adjust start and end times according to the division being assisted • May be required to adjust work hours and/or work overtime due to workload demand, staffing needs, and/or to complete court documents in accordance with statutory timeframes Benefits • Health, dental, and vision insurance effective first of month following 30 days of employment, with the ability to reduce premium contribution through participation in a wellness program • Flexible Spending Accounts • Employee Assistance Program • Paid Time Off • Twelve Paid Holidays • Retirement Plan: Participation in the Wisconsin Retirement System which includes County-paid life insurance • Tuition Reimbursement Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
