08 per hour Position Summary and Job Duties The Administrative Assistant will serve as the first point of contact for the public visiting our facilities.
In addition to working at the front desk reception in one of our facilities, this role will provide clerical support to various divisions with the Sheriff’s Department, provide customer service over the phone, and provide organization to the department’s operations.
Incumbents in this position must be able to provide a high level of customer service, have impeccable attention to detail in all assigned work, and be able to thrive in a fast-paced environment.
• Greet callers and in-person visitors; answer questions and resolve issues, or forward appropriately • Draft letters, reports, itineraries, agendas, and other documents • Input information into program databases, Microsoft Excel spreadsheets, etc.
• Coordinate flow of paperwork; obtain appropriate authorizations, signatures and documentation; work closely with division staff under tight time constraints • File documents with appropriate staff and divisions • Monitor the status of projects or functions to ensure appropriate action is taken in a timely manner • Schedule, coordinate, monitor, and update division calendars • Prepare and process receipts, payments, and accounting entries into accounting system, logs, and inmate accounts • Maintain files and records; copy, scan, and save files; retrieve files; ensure appropriate organization and labeling of files and materials • Order and maintain office supplies • Process Temporary Restraining Orders and subpoenas as needed • Schedule court-ordered DNA processing appointments; track and report no-shows • Represent the Kenosha County Sheriff’s Department in a professional manner • Perform other work as required or assigned Success Factors • Knowledge of legal terminology and court proceedings, documents and information needed for court proceedings, as well as court automatic programs similar to systems used by Kenosha County • Ability to adapt to changing protocols and shifting priorities in a fast-paced environment • Ability to perform highly detailed work within defined or ambiguous timeframes and amidst distractions • Ability to work with confidential information and maintain a high level of integrity with sensitive intelligence • Ability to remain professional and courteous at all times and exercise good judgement in stressful situations • Ability to communicate clearly, concisely, and respectfully, both orally and in writing, with law enforcement personnel and the public • Ability to organize self and office to meet schedules and deadlines of the work; work independently and with limited oversight to meet deadlines; and follow oral and written instructions • Ability to work respectfully in a diverse and inclusive environment • Skill in providing customer service to customers in a timely manner • Skill in using office equipment, including computer, calculator, scanner, phone, and fax machine; Microsoft Office software, including Word, Outlook, and Excel Job Requirements, Education, Training and Experience Required Education and Experience • High school diploma or GED equivalent • Previous work experience in a secretarial or similar position • Or any combination of education, training, and experience which provides the knowledge, skills, and abilities necessary to perform the job Preferred Education and Experience • Associate Degree in Administrative, Office, Clerical • Work experience in a municipal setting Other Job Requirements • Valid driver’s license and acceptable driving record • Background free of felony convictions • Ability to become a notary public • Ability to work overtime when needed, with or without advance notice Work Schedule • Work hours are generally Monday through Friday from 9:00 AM to 5:30 PM • Must be able to adjust start and end times according to the division being assisted • May be required to adjust work hours and/or work overtime due to workload demand, staffing needs, and/or to complete court documents in accordance with statutory timeframes Benefits • Health, dental, and vision insurance effective first of month following 30 days of employment, with the ability to reduce premium contribution through participation in a wellness program • Flexible Spending Accounts • Employee Assistance Program • Paid Time Off • Twelve Paid Holidays • Retirement Plan: Participation in the Wisconsin Retirement System which includes County-paid life insurance • Tuition Reimbursement Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
